Then you might be the Finance & Administration Officer we're looking for.

We are looking for a Finance & Administration Officer who will help ensure continuity, oversight, and proper follow-up in the areas of credit control, invoicing, and administration. This is a role in which you will not only demonstrate strong administrative skills but also interact effectively with colleagues, clients, and various teams within Titeca.

You’ll be joining a close-knit and energetic team where collaboration is key. You’ll play a supportive yet crucial role in day-to-day operations and work closely with colleagues from TPA and TPE.

What Your Day Will Look Like:

  • Credit Control and Customer Contact
    • You will closely monitor outstanding customer invoices and ensure that payments are correctly processed in the system.
    • You analyze outstanding invoices, consult with the business partner to determine the appropriate course of action, and then contact customers by phone to discuss overdue payments. You do this in a professional, clear, and customer-focused manner, with an eye toward realistic agreements and cash flow.
    • You monitor the progress of cases and ensure that follow-up procedures are consistently carried out. In this way, you help ensure clarity, transparency, and continuity.
  • Billing and Support
    • You are responsible for preparing, reviewing, and sending invoices and credit memos.
    • In addition, you’ll monitor Peppol invoicing, check the processing, and resolve any errors. Colleagues from TPA and TPE can come to you with questions about invoicing. You’ll ensure that everything is handled correctly from an administrative standpoint.
    • Reporting tasks, such as tracking delayed performance, prospects, and other follow-ups, are also part of your responsibilities.
  • Administration and Reliability
    • You accurately enter administrative data into the ERP system, such as customer information, projects, and task flows.
    • You will assist with the timely filing of electronic returns, such as VAT returns and other legal obligations. In addition, you will serve as backup for the e-portal operations, ensuring that operations continue smoothly even in the event of absences.
    • During busier periods, such as VAT quarters, you’re willing to be flexible and step in when needed—even if that means working in the evening on rare occasions.
  • Processes and Improvement
    • You don't just monitor existing processes; you also take a critical look at how we work.
    • You identify inefficiencies, bottlenecks, or recurring errors and actively contribute ideas on how to make processes simpler, faster, or of higher quality.
    • You will develop proposals for improvement, coordinate with the relevant colleagues, and help implement these improvements.
    • With your keen eye and structured approach, you’ll help ensure that Finance & Administration operates efficiently and with an eye toward the future.

    • You have a good grasp of numbers and can reason logically. You don't necessarily need to know everything already, but you quickly grasp connections and enjoy working with financial and administrative information.

    • You can work independently and keep track of your cases. At the same time, you’re happy to pitch in when needed and believe it’s important for the team to move forward together.
  • Communicative and customer-focused
    • You communicate easily with customers and coworkers. You’re not intimidated by phone calls: you know how to make clear arrangements in a professional and respectful manner.
  • Well-organized and stress-resistant
    • You work in an organized manner, set priorities, and stay calm when things get busy. Even during peak periods, you keep a cool head and continue to follow through reliably.
    • Ideally, you have a background in accounting or experience with invoicing. If you don’t have that, but you do have the right insight, numerical reasoning skills, and a strong approach to administrative work, then you’re definitely a good candidate as well.
  • Accuracy and Improvement
    • You ensure that processes are followed correctly, but you don’t simply assume that “we’ve always done it this way.” You think critically, identify opportunities for optimization, and come up with proposals that make work more efficient for colleagues and customers.
